- “Third-Party Services” refers to services provided by external entities, including but not limited to embassies, consulates, visa application centres, insurers, airlines, accommodation providers, courier companies, or any other independent service providers.
- “Service Commencement” means the point at which we begin providing the Services, including but not limited to initial consultation, document assessment, drafting of materials, or preparation of visa-related documentation.
- “Working Day” means any day other than a weekend or public holiday observed in the jurisdiction where the Services are being delivered.
Headings are for convenience only and shall not affect the interpretation of these Terms and Conditions. Any reference to applicable laws or regulations shall include any amendments or re-enactments thereof.
By engaging with Oscar Visa, submitting any documents, requesting, confirming, or instructing us to provide Services, making a payment, or otherwise interacting with us (including via electronic communications such as email, WhatsApp, messaging platforms, online forms, invoice approvals, or other digital means), the Client:
- Confirms that they have read, understood, and agreed to be bound by these Terms and Conditions;
- Consents to the use of electronic communications and acknowledges that such communications may be relied upon for contractual purposes;
- Represents that they are authorised to enter into this agreement for the Services on behalf of themselves or any person or entity they represent.
Acceptance or use of any part of the Services constitutes acceptance of these Terms and Conditions in their entirety. Where these Terms and Conditions are updated, continued use of the Services after the revised version has been made available on our website shall constitute acceptance of the updated Terms.
Oscar Visa provides independent administrative and documentation support services and general procedural guidance related to visa applications, based solely on the information and documents provided by the Client.
The Services may include, where applicable, visa file preparation, document review, cover letters, travel itineraries, application checklists, and general guidance on visa application procedures.
Oscar Visa does not:
- Act as an embassy, consulate, immigration authority, or government body;
- Provide legal advice or immigration representation;
- Guarantee visa approvals, processing timelines, appointment availability, or application outcomes;
- Influence or control the decision-making process of embassies, consulates, or immigration authorities;
- Submit visa applications on behalf of Clients unless expressly agreed in writing.
All decisions relating to visa issuance, refusals, processing times, interviews, or requests for additional documentation are made exclusively by the relevant embassy, consulate, or immigration authority. Oscar Visa has no authority or influence over such decisions.
Clients acknowledge that visa requirements, eligibility criteria, documentation standards, and processing procedures are determined by the relevant authorities and may change at any time without notice. Oscar Visa shall not be held responsible for any changes introduced by authorities after the Services have commenced.
All decisions related to visa approvals, refusals, processing times, interview requirements, appointment availability, and related outcomes are exclusively determined by the relevant embassy, consulate, visa application centre, or immigration authority.
Oscar Visa provides administrative support, application organisation, documentation assistance, and procedural guidance, but does not control, influence, expedite, or guarantee any aspect of the decision-making process, visa outcome, processing speed, or appointment access.
Any assurances or estimates regarding visa outcomes, processing times, or appointment availability shall be valid only if expressly provided in writing by Oscar Visa through official communication channels.
Clients acknowledge that visa requirements, documentation standards, processing procedures, timelines, and eligibility criteria are set by external authorities and may change at any time without notice. Such changes occurring after the commencement of services are outside Oscar Visa’s control and do not constitute grounds for complaint, refund, compensation, or liability against Oscar Visa.
Clients are responsible for providing accurate, complete, truthful, and up-to-date information and documentation required for visa or immigration-related applications. Oscar Visa relies on the information supplied by the Client and does not independently verify the accuracy or authenticity of documents unless expressly agreed in writing.
Clients are required to cooperate in a timely manner throughout the service process, including:
- Responding to requests for information or clarification
- Providing required documentation
- Attending appointments or biometric enrolments
- Meeting deadlines imposed by embassies, consulates, visa application centres, immigration authorities, or third-party providers
Clients must carefully review all documents, forms, and information prepared or shared by Oscar Visa prior to submission and confirm that all details are correct.
Any consequences arising from inaccurate, incomplete, altered, or misleading information provided by the Client, or from delays or non-cooperation, remain the Client’s responsibility and may affect the outcome of the application.
Unless expressly agreed in writing, Oscar Visa’s services do not include legal advice, immigration advice, representation before embassies or immigration authorities, or acting as an authorised representative on behalf of the Client.
Oscar Visa does not guarantee visa approvals, processing timelines, appointment availability, interview waivers, or application outcomes, and does not control or influence decisions made by embassies, consulates, visa application centres (VACs), or immigration authorities.
Clients are solely responsible for the payment of all external fees and charges, including but not limited to:
- Embassy or consular fees
- Visa Application Centre (VAC) fees (such as VFS Global, TLScontact, or similar service providers)
- Government or immigration authority charges
- Biometric enrolment fees
- Courier, postal, or document handling fees
- Travel insurance premiums
- Medical examination fees
- Translation, notarisation, or certification costs
- Any other third-party or authority-imposed charges
Such fees are determined, collected, and controlled entirely by third parties or authorities and are not included in Oscar Visa’s service fees unless explicitly stated and agreed in writing.
Oscar Visa is not responsible for changes in immigration rules, documentation requirements, fee structures, appointment systems, technical issues, strikes, system outages, or any actions, delays, or decisions taken by government bodies, embassies, consulates, visa application centres, or third-party service providers.
Any services, costs, or assistance not expressly listed within the agreed scope of work shall be deemed excluded from Oscar Visa’s services.
Oscar Visa may interact with, assist with, or refer Clients to third-party providers in connection with visa and travel-related processes. These may include, but are not limited to:
- Embassies and consulates
- Visa application centres (VACs)
- Government or immigration authorities
- Airlines and accommodation providers
- Courier and logistics services
- Insurance providers
- Medical centres
- Translators and certification services
- Other relevant third-party service providers
All third-party services are provided independently of Oscar Visa and are subject to the terms, conditions, policies, and procedures of the respective third-party providers. Oscar Visa does not control, operate, or manage such services and is not responsible for their actions, decisions, delays, errors, omissions, service interruptions, or outcomes.
Any bookings, appointments, payments, or arrangements involving third-party providers are made at the Client’s request and remain the Client’s responsibility. Oscar Visa does not guarantee the availability, pricing, performance, or suitability of any third-party services.
Oscar Visa shall not be liable for any loss, delay, cancellation, additional cost, or inconvenience arising from the acts, omissions, decisions, or policies of third-party providers, including changes imposed by authorities or service providers beyond Oscar Visa’s control.
Oscar Visa charges fees for the provision of professional support services. These fees relate to administrative time, documentation assistance, procedural guidance, service coordination, and related support activities.
Service Fees are separate from any government, embassy, consulate, visa application centre (VAC), or other third-party charges.
Payments
Unless expressly agreed otherwise in writing, Service Fees are payable in advance.
Payment of the Service Fee confirms the Client’s instruction for Oscar Visa to begin providing the requested services in accordance with these Terms & Conditions.
Any government fees, VAC fees, biometric charges, courier fees, medical fees, travel insurance costs, or other third-party charges are set and controlled by external authorities or service providers and are outside Oscar Visa’s control.
Commencement of Services
Services are deemed to commence once professional time or resources have been allocated to a Client’s request. This may include, but is not limited to:
- Documentation or information review
- Checklist or guidance preparation
- Draft creation (such as cover letters or itineraries)
- Form assistance
- Appointment or procedural guidance
Once Services have commenced, Service Fees reflect work performed and time allocated to the Client’s file.
Chargebacks & Payment Disputes
If a Client has any questions or concerns relating to fees or payments, they are encouraged to contact Oscar Visa promptly using the official contact details listed on our website so that the matter may be reviewed and addressed in good faith.
Processing times for visa and immigration applications vary depending on the country, visa category, individual circumstances, and the policies and workload of the relevant embassy, consulate, visa application centre (VAC), or immigration authority.
Any timelines, estimates, or indications provided by Oscar Visa are approximate only and are based on publicly available information or prior experience. Oscar Visa does not control processing speeds and cannot guarantee processing times, appointment availability, interview scheduling, or decision dates.
Delays may occur due to factors outside Oscar Visa’s control, including but not limited to high application volumes, administrative backlogs, security or background checks, additional document requests, system outages, strikes, public holidays, policy or procedural changes, or decisions made by immigration authorities or third-party providers.
Oscar Visa shall not be held responsible for any delay, rescheduling, extended processing period, or outcome resulting from the actions, requirements, or decisions of embassies, consulates, VACs, government authorities, or third-party service providers.
Oscar Visa handles client information with care and treats personal data and documents as confidential. Information provided by Clients is used solely for service delivery, internal record-keeping, communication, compliance purposes, and related operational needs, in accordance with applicable data protection requirements.
Client information may be disclosed only where reasonably necessary to facilitate the Services or to meet legal or regulatory obligations. This may include disclosure to:
- Embassies and consulates
- Visa application centres (VACs)
- Government or immigration authorities
- Payment processors and financial institutions
- Courier and logistics providers
- Insurance providers and medical centres
- Translators, certification services, or other relevant third-party service providers
Oscar Visa implements reasonable administrative, technical, and organisational measures to protect personal information against unauthorised access, loss, misuse, or disclosure. Clients acknowledge that no method of electronic transmission or data storage can be guaranteed to be completely secure.
Clients confirm that any information or documents they provide are shared lawfully and with appropriate authority or consent from any relevant third parties. Oscar Visa shall not be responsible for confidentiality or data protection issues arising from information shared by Clients outside Oscar Visa’s systems or beyond Oscar Visa’s control.

To the extent permitted by applicable law, Oscar Visa shall not be liable for any indirect, incidental, consequential, special, or punitive losses or damages arising out of or in connection with the use of the Services.
Oscar Visa shall not be responsible for losses, delays, costs, or inconvenience resulting from visa refusals, processing delays, appointment unavailability, policy or procedural changes, documentation requirements, or decisions made by embassies, consulates, visa application centres (VACs), immigration authorities, or other government bodies.
Oscar Visa shall also not be liable for losses or damages arising from the actions, omissions, errors, delays, or failures of third-party providers, including but not limited to airlines, accommodation providers, courier services, payment processors, insurers, medical centres, translators, or other external service providers.
Where liability cannot be excluded under applicable law, Oscar Visa’s total liability shall be limited to the Service Fees actually paid by the Client for the specific Service giving rise to the claim.
Nothing in these Terms & Conditions excludes or limits liability for matters that cannot be excluded or limited under applicable law, including fraud, wilful misconduct, or statutory consumer rights.
Oscar Visa aims to resolve concerns in a fair, transparent, and timely manner and values open communication with Clients.

Oscar Visa will cooperate fully with any review or investigation carried out by banks, payment providers, or regulatory authorities in relation to a dispute or chargeback.
Oscar Visa may update, amend, or modify these Terms & Conditions from time to time to reflect changes in services, legal or regulatory requirements, or operational practices.
